2009 REUNION PLANNING COMMITTEE
MINUTES FROM LAST MEETING

on November 1, 2008

    • PRESENT AT LAST MEETING 10/4/08:
      • Mike Byrne, Nancy Fletcher Hopper (and Mel), Lynn Moody (and Susie), Donna Patterson, Ken Pearce, Bob Records, Chester Slimp, Rodney Tolbert, and Jeanette Evans Wyland. We met at the home of Susie and Lynn Moody—thanks for hosting us!

      • What do we have to start with?

        • Date for reunion: 10/2-3/09—SAVE THE DATE! It’ll be COOLER (we hope).

          • Friday night: Informal/TBD—pay as you go
          • Saturday afternoon: Picnic/MacArthur Park? No School Tour?
          • Saturday evening: formal/TBD; no live band due to expense Bob Records volunteered to investigate venues for both Friday and Saturday night and report at next meeting--looking at a Chris Madrid’s-type location (casual dress, burgers, etc.) for Fri. and a Pearl Stable-type venue (a little more dressy; catered) for Sat. SUGGESTIONS ARE WELCOME!

        • Proposed Budget
          • cost per person/couple: unk at this time--in 2004, it was $125 per couple; we’d like to keep it to no more than that, or even less, but you know how costs have risen in 5 years
          • required deposits: unk at this time for venues; early pay for classmates is HIGHLY encouraged.

The contacting will migrate to email this year – with outreach mailings and other supplements to boost participation.         • We are also working on a class website. Martha Elvey and Court Thieleman have agreed to work on this. We are aiming for the first of 2009 to have it up and running. If you would like to help, look at your email list and contact Martha or Court.

          • Bob Records investigated venues for both Friday and Saturday night: Fri. nite venue has upstairs room available for $100.00; Sat. nite venue has room available for $500.00, plus food ranging from $18-$22 per person for a buffet and a sit down dinner for approx. $25 per person.
          • Other possible Fri. nite venues considered but were “too busy” or didn’t have sep. room available; Other Sat. nite venues considered but room fees ranged from $5,500- $8,500.

    • PRESENT AT LAST MEETING 1/24/09:
      • Mark Fetzer (and his sister, Brenda Fetzer Cooper), Janice Kennedy, Barbara Marullo, Paul Nauschutz, Ken Pearce, Kathy Poehl, Bob Records, Bren Sidereas, Tom Taylor (and Alta), and Stan Shipley (and Cindy). We met at the home of Cindy and Stan Shipley in Dallas, Texas—thanks for hosting us!
    • OLD BUSINESS: Reports from last meeting

        • Just our class—we may join up with the Class of ’70 for the 45th.
      • What do we have to start with?
        • $600.00, held by Donna Patterson
      • When will this be held?
        • Date for reunion: 10/2-3/09—SAVE THE DATE! It’ll be COOLER (we hope).
      • What kind of activities and where will they be held?
        • Format/Location
          • Friday nite: Water Street Oyster Bar/informal—pay as you go Bob Records brought a copy of the WSOB appetizer menu for us to review. The WSOB Marlin Room has the capacity to hold 200. The reservation fee is $150 and it is refundable in case we change our Friday nite plans. We voted to make the reservation and Bob Records will handle that for now.
          • Saturday afternoon: Picnic/MacArthur Park? No. School Tour? No. Possible Sat. golf at The Quarry Golf Club? Bob Records is investigating availability of at least 4 tee times and will update this at next meeting.
          • Saturday nite: The Quarry Golf Club/reservations and pre-payment required.Suggested dress will be business casual/blazer. The QGC room has capacity for 200. The event would run from 7 p.m.-midnight. The dinner format would be buffet rather than sit-down. The cost per person would run from around $23 to $28 per person (including tax of 8.25% and gratuity of 18%), depending on the choice of buffet. The room reservation fee is $800 (for a 4 hr. block of time) and an additional $200 per hour thereafter. Since we are planning a 5 hr. event, the room cost would be $1,000 and a 50% deposit is required. There would be a cash bar provided. No live band due to expense. Kathy Killebrew Poehl reported cost of DJ to be at least $300-500 and we will discuss again at next meeting. Barb Marullo to look into creating our own playlists via mp3, CD, etc. and report at next meeting.

        • We now have a class website at www.macclassof69.com. Only those with known emails have been entered on the class list at the website. We will upload the rest of the class list within 30 days or so. If you have not done so already, please go to the website and register.
      • Possible underwriting/sponsorship idea
        • We discussed ways to reduce the cost of the reunion, cover costs and perhaps have something left over for the 45th. One idea is to have levels of underwriting/sponsorship, such as “General”, “Colonel”, “Lieutenant Colonel”, “Major”, “Captain”, and “Lieutenant”, each with a qualifying level of contribution. This will be discussed again at the next meeting.
      • When will we meet again?
        • 4/25/09 @ 1 p.m. in San Antonio at a location TBD. Janice Kennedy says she will be in SA on Friday night for Fiesta Week/NIOSA, so be sure to look for her there!

      • Mike Byrne; Martie Cardenas Jacques; Gary Caswell; Jeanette Evans Wyland; Nancy Fletcher Hopper; Roy Ison; Janice Kennedy; Whitey Lasswell (and Dolores); Gary and Jeanne McCaffrey; Ken Pearce (and Gay Lee); Kathy Killebrew Poehl (and Michael); Bob Records; Chester Slimp; and Tom Snider—the largest group so far! We met at the home of Bebo--Nancy’s mom—in San Antonio, Texas—thanks for hosting us!

        • $750, now in a new class bank account at Wells Fargo; Caswell, Kennedy, Marullo and Pearce are authorized signers; two signatures required on checks

        • The host of our class website has prepared some press releases to be distributed to various SA TV and print media outlets. No word yet as to when those will be activated. Mike Byrne will prepare some public service announcements for SA radio stations.
        • The reunion is listed on classmates.com.

        • We discussed ways to reduce the cost of the reunion and perhaps have something left over for the 45th. One idea is to have levels of underwriting/sponsorship, such as “General”, “Colonel”, “Lieutenant Colonel”, “Major”, “Captain”, and “Lieutenant”, each with a qualifying level of contribution. Other suggestions are to encourage donations “In Memory of” a specific classmate, teacher, event, activity, etc. We will activate the “Donation” module on the class website. Gary Caswell to head up activity.

      • Mike Byrne; Martie Cardenas Jacques; Gary Caswell; Janice Kennedy (and granddaughter Riley); Barb Marullo; Gary and Jeanne McCaffrey; Ken Pearce (and Gay Lee); Marcy Prince Horton; Bob Records (and Karen); Chester Slimp; and Tom Snider. Special Guests: Butch and Kay Gerfers from the Mac Class of 1970. We met at the home of Bob and Karen Records in San Antonio—thanks for hosting us! Bob made all the food and it was great!

        • We have collected about 225 classmate emails. If you know of anyone not listed who has an email, please send it to Ken Pearce.
        • First mail out done at the 4/25/09 meeting; mailed to about 150 classmates--those for whom we do not have an email address. About 25 were returned as undeliverable.
        • Mike Byrne will prepare some PSA for SA radio stations for Sept. airplay.
      • Classmate contact/Class website
        • The class website at www.macclassof69.com has been up for about 4½ months; 168 classmates have joined the website; 76 say they are coming to the reunion; 44 have registered for Sat. night with 81 expected so far. Still about 100 lost Brahmas.
      • Donations page activated
        • “Donation” module activated and recognized levels of donations established. Gary Caswell set a goal of $5,000 and intends to encourage all classmates to give something and to contact specific classmates. Chester suggested investigating 501(c)(3) status to make gifts tax deductible.
      • Videographer—Barb Marullo to investigate cost and report at next meeting
      • When will we meet again?

        • We have collected about 235+ classmate emails. If you know of anyone not listed who has an email, please send it to Ken Pearce.
        • Mike Byrne prepared some PSA for SA media outlets for post-Labor Day airplay.
      • Classmate contact/Class website
        • The class website at www.macclassof69.com has been up for about 6½ months; 187 classmates have joined the website; 91 say they are coming to the reunion; 58 of those 91 have registered for Sat. night; 24 of those 58 have paid so far. We are expecting about 100 Brahmas and guests to attend sat. night. Still about 100 lost Brahmas.
      • Donations page activated
        • “Donation” module activated and recognized levels of donations established. Gary Caswell has set a goal of $5,000 and intends to send out second encouragement asking all classmates to contribute.
      • Videographer—voted down.
      • When will we meet again?
        • Tentatively on September 12, 2009 @ 1 p.m. in San Antonio at a location TBD.
